Automation ROI calculator
List the tasks you repeat. See how many hours and euros they cost a year, and which one to automate first. Runs in your browser, nothing is uploaded.
How the hours are counted
For each task the calculator multiplies minutes per time by times per week and by 52 weeks, then divides by 60 to get hours a year. Your hourly cost turns that into euros, and the percentage you choose estimates how much of the work a tool could take over.
hours a year = minutes × times per week × 52 ÷ 60
Which task to automate first
The list ranks tasks by yearly hours. The top one is usually the best first candidate, because it pays back fastest. A good first task is repetitive, follows clear steps and does not need judgement, such as copying data between tools, sending the same report or chasing standard reminders.
Before you automate
- Write the steps down first. A task you cannot describe in steps is hard to automate. A short SOP often saves hours by itself.
- Start small. Automate one task, check it works for a month, then move to the next.
- Count the cost. Compare the yearly figure with the cost of building and maintaining the automation.
Questions
What is a good task to automate?
Tasks you repeat often, that follow the same steps each time and move data between tools. Examples are copying form entries into a CRM, producing a weekly report and sending standard follow-up emails.
Is automation always worth it?
No. If a task takes little time or changes every time, the cost of automating it can outweigh the savings. This calculator helps you see which tasks are worth a closer look.
Does this tool save my tasks?
No. Everything stays in your browser and is gone when you close the page.
